Our Core Commitment to Your Privacy

At Swismax Solutions, we believe that a business's financial data, customer records, and operational information are among its most sensitive and valuable assets. We built SwisOne with privacy as a foundational principle — not an afterthought.

From the moment you create your SwisOne account, everything you enter — every invoice, every customer name, every transaction amount — belongs entirely to you. Swismax Solutions acts only as the custodian of that data, with the sole purpose of making it available to you through a secure, reliable platform.

Privacy by Design: SwisOne is architected so that data privacy is built into every layer of the system — from how data is entered, to how it is stored, to how it is retrieved. Privacy is not an optional feature. It is the default.

This policy is a binding commitment from Swismax Solutions to every SwisOne customer. We do not treat your data as a commercial resource, an asset to be monetized, or information to be shared. We treat it as a private record that you have entrusted to us, and we take that responsibility seriously.

Data We Collect

SwisOne only collects data that is necessary for the software to function correctly and provide the services you have subscribed to. We do not collect any data beyond what is operationally required.

The data collected by SwisOne falls into two categories:

Account & Identity Data: Your name, business name, contact number, email address, and login credentials used to create and access your SwisOne account.
Business Operational Data: All data you enter into SwisOne in the course of using the software — including invoices, quotations, customer records, vendor records, payment entries, expense records, purchase records, items and services, transaction history, and any reports generated from that data.

We do not collect:

  • Browsing history or activity outside of SwisOne.
  • Device information beyond what is technically necessary for session management.
  • Location data, biometric data, or any personal data unrelated to your account.
  • Financial credentials such as bank account numbers or payment card details.
  • Any data from your contacts, files, or other applications on your device.

How Your Data Is Stored

SwisOne stores all customer data on secured, access-controlled servers. Data storage is managed with strict protocols designed to prevent unauthorized access, corruption, or loss.

Isolated Storage Environment: Each customer's data is stored in a way that is logically separated from other customers' data. Your account's records cannot be accessed by, mixed with, or visible to any other SwisOne customer.
Segmented Data Architecture: Your data is not stored as a single readable block. Instead, it is broken into separate parts and distributed across different components of the storage system. This means that even in the unlikely event of unauthorized access to one part of the system, a complete, readable copy of your data cannot be reconstructed without access to all segments simultaneously — which is protected by multiple independent security layers.

This segmented approach ensures that:

  • No single point of access can expose your complete business data.
  • Raw data stored in any one segment is meaningless without the other parts.
  • Unauthorized parties cannot read, copy, or use partial data segments.
  • Your financial records remain private even at the infrastructure level.

Encryption & Data Encoding

All data within SwisOne is encoded and encrypted to ensure that it cannot be read, interpreted, or used by anyone who does not have the specific authorization to access it through the proper application layer.

Encoded at Rest: Data stored on our servers is encoded so that the raw stored values are not human-readable. Even if someone were to gain unauthorized access to the underlying storage, the data they would encounter would be encoded and completely unreadable without the correct decryption keys and application context.
Encrypted in Transit: All data transmitted between your device and SwisOne's servers is protected using industry-standard encryption protocols. This ensures that data cannot be intercepted or read while being transferred over the internet.
Not Readable by Ordinary Access: The encoding and segmentation of SwisOne data means that no ordinary person — including someone with basic database access — can read or understand your business data. Decoding requires the correct application layer, the correct encryption keys, and the correct access authorization working together. These are never accessible to a single unauthorized individual.

This multi-layer encryption and encoding system is one of the strongest commitments SwisOne makes to its customers. Your invoice values, customer names, payment records, and financial data are never stored as plain, readable text.

Your Data Is Never Sold

Swismax Solutions does not sell customer data. This is an absolute, unconditional, and permanent commitment. There are no exceptions, no special circumstances, and no future scenarios in which this policy would change without explicit advance notice and customer consent.

Zero Data Monetization: SwisOne does not engage in the sale, licensing, rental, or any form of commercial transfer of customer data to any individual, company, organization, data broker, advertiser, or any other entity — under any circumstances, at any price, for any purpose.

Specifically, we commit that:

  • Your customer names and contact details are never sold to marketing companies.
  • Your invoice and revenue figures are never shared with financial data aggregators.
  • Your business patterns, usage data, or operational information are never sold to competitors or researchers.
  • No anonymized, aggregated, or derived version of your data is sold or commercially distributed.
  • SwisOne's business model is entirely subscription-based. We have no financial incentive to sell your data, and we do not do so.
Revenue Model Transparency: SwisOne generates revenue exclusively through subscription fees, one-time plans, and service charges paid directly by customers. We do not rely on advertising revenue, data brokerage, or any other model that would create an incentive to use or expose your data.

Developer Access Policy

SwisOne is developed and maintained by a technical team at Swismax Solutions. As part of ongoing maintenance, bug fixing, and software development, technical team members may have access to the underlying system infrastructure. However, access to customer business data is strictly governed by the following policy.

Developers Cannot Read Your Data: Due to the encoded and segmented nature of SwisOne's data architecture, developers working on the system do not have the ability to read, interpret, or access any customer's actual business data in a meaningful way. What they can access at the infrastructure level is encoded data — values that are unreadable without the full application context.
Access Is Functional, Not Content-Based: When technical staff access the system for maintenance or development purposes, their access is restricted to the structural and functional layers of the software. They work with code, configurations, and system architecture — not with customer records, invoices, financial data, or any identifiable business information.

Internal access controls include:

  • Role-based access restrictions ensuring team members only access what is necessary for their specific function.
  • No access to decryption keys or encoding schemas by general development staff.
  • No ability for any single team member to reconstruct or read a customer's full data set.
  • All internal access is logged and auditable by senior management.
Our Internal Commitment: Swismax Solutions maintains a strict internal policy that explicitly prohibits any team member from accessing, viewing, copying, sharing, or using any customer's business data for any purpose — including curiosity, research, or any unofficial reason. Violation of this policy by any team member is treated as a serious breach of employment terms.

Data Segmentation — How It Protects You

One of the most technically significant privacy features of SwisOne is the way data is segmented — stored in separate, independent parts rather than as a single, complete, readable record. This section explains what that means for your security in plain terms.

What Segmentation Means: Imagine your data is like a puzzle. Instead of storing the completed puzzle in one place, SwisOne breaks it into pieces and stores each piece in a different location within the system. To reconstruct the complete picture, you would need every piece — and access to every location. Each location is independently secured.

In practical terms, this means:

  • A breach of one part of the storage system does not expose complete, usable data.
  • Any fragment of data accessed without proper authorization is incomplete and meaningless on its own.
  • Combining all segments requires the correct application-level authorization that only the legitimate user holds.
  • Attackers or unauthorized parties cannot reconstruct business records from partial access.
Human Readability Test: If any ordinary person — with or without technical knowledge — were to access a raw segment of SwisOne's stored data, they would encounter encoded, fragmented values that bear no resemblance to readable invoices, customer names, or financial figures. The data would be meaningless to them.

This architecture was deliberately chosen by Swismax Solutions to ensure that even in scenarios of partial system compromise, your business data remains protected, private, and inaccessible to unauthorized parties.

Who Can See Your Data

Access to your SwisOne data is governed by a strict access control policy. The following defines exactly who can access your data and under what circumstances.

You and Your Authorized Users: Only you — and any users you explicitly authorize within your SwisOne account — can access your business data through the application. Your data is presented in readable form only within your authenticated session.
No One Else: No SwisOne employee, no developer, no third party, no partner organization, no government authority (without a lawful court order), and no other customer can access your data. There are no backdoors, no administrative viewing tools, and no override mechanisms that would allow your data to be viewed by anyone outside your authorized users.

Summary of access rights:

  • Customer (You): Full access to your own data through authenticated login.
  • Your authorized staff: Access as configured and controlled by you within the account.
  • Swismax Solutions developers: Access to encoded system data only — no readable business content.
  • Third parties: No access, under any circumstances.
  • Other SwisOne customers: Completely isolated — zero visibility into your account.
  • Advertisers or data companies: No access, no data shared, ever.

Third-Party Services

SwisOne may use third-party services for specific infrastructure functions — such as hosting providers, database services, or content delivery networks. When such services are used, they are engaged solely for their technical function, and strict data handling requirements are applied.

Infrastructure Partners Only: Any third-party service used by SwisOne operates at the infrastructure level only. They process encoded, encrypted data as part of system operations. They do not have the context, the keys, or the access required to read, interpret, or use customer business data in any meaningful way.
No Data Sharing for Commercial Purposes: Swismax Solutions does not share customer data with any third party for marketing, analytics, advertising, research, or any commercial purpose. Third-party infrastructure partners are contractually prohibited from using SwisOne customer data for any purpose beyond the technical service they provide.

We do not use:

  • Advertising networks that receive customer data.
  • Analytics platforms that process identifiable customer business records.
  • Data brokers or aggregators of any kind.
  • Social media platforms that receive data from SwisOne customer accounts.

Your Rights as a SwisOne Customer

Swismax Solutions respects your right to control your own data. As a SwisOne customer, you have the following rights with respect to your business data stored within the platform.

Right to Access: You have the right to access all data stored in your SwisOne account at any time during an active subscription. This is available directly through the application and its 38+ built-in reports.
Right to Accuracy: You have the right to correct or update any data in your account at any time. SwisOne provides full editing capability within the application for this purpose.
Right to Know: You have the right to ask Swismax Solutions what data we hold about you and how it is being used. Submit your query via WhatsApp or official contact and we will respond within a reasonable timeframe.
Right to Data Deletion Request: Upon permanent account closure, you may request deletion of your business data from SwisOne's systems. This request will be processed in accordance with our data retention policy (Section 11) and applicable legal requirements.

Data Retention Policy

SwisOne retains customer data for as long as the account remains active. This ensures that customers with annual, lifetime, or recurring monthly subscriptions always have access to their full historical records — including past invoices, payment history, and reports.

Active Accounts: All data is retained and fully accessible for the duration of an active subscription. No historical data is automatically deleted while your account is in good standing.
Inactive or Expired Accounts: If a subscription expires and is not renewed, the Company reserves the right to archive or eventually delete the associated data after a reasonable grace period. Customers are advised to export any required reports or records before their subscription expires.
Deleted Accounts: Upon confirmed permanent deletion of an account, customer data will be removed from active systems. Residual encoded data in backup infrastructure may persist for a limited period before being fully overwritten during routine backup cycles. After this period, no recoverable copy of your data will remain in our systems.
